1. Learner Enrolment Records (Standard 5)

Under Standard 5 – Completion of Training and Assessment, RTOs are required to maintain records related to each learner’s enrolment. These records should include:

  • Learner’s personal details, such as name, contact information, and unique student identifier (USI).
  • Enrolment information, including the course or qualification the learner is enrolled in, units of competency, and any relevant pre-enrolment requirements.
  • Support needs, including any special assistance or reasonable adjustments required, such as language, literacy, and numeracy (LLN) support.

2. Training and Assessment Records (Standard 1)

ASQA requires RTOs to maintain detailed records that demonstrate how training and assessment are delivered in compliance with the Training Package or accredited course. These records must include:

  • Training delivery methods: Detailed documentation on how training is delivered (e.g., face-to-face, online, workplace).
  • Assessment records: Clear records of assessments conducted, including methods, tools, results, and feedback. These records ensure that assessments are fair, valid, reliable, and flexible.

  • Duration of retention: Records must be kept for a minimum of 30 years for qualifications issued, and at least five years for other learner records (such as assessments and enrolments). However, RTOs should check the latest regulatory requirements, as these may vary by state and territory.
  • Storage method: Records can be stored either physically or electronically, but electronic records must meet specific requirements regarding security, backup, and accessibility. RTOs should use secure, encrypted systems to prevent unauthorized access or data breaches.
